1. Beta Program

Tern AI is currently in closed beta. This policy describes how we collect, use, and protect your data while you use the platform during this period. We may update this policy as the platform evolves toward general availability in 2026.

2. What data we collect

When you sign up and use Tern AI, we collect:
- Account information: name, work email, organisation, role, and title
- Profile information: beat areas, social links, publication or outlet, expertise areas, profile photo, pitch availability status
- Content: pitches, messages, press releases, briefing documents, and file attachments you submit
- Usage data: pitches sent and received, connections, messages, meetings scheduled, AI search queries, stakeholder interactions
- Device and session data: browser type, IP address, login timestamps

3. How we use your data

We use your data to:
- Operate and improve the Tern AI platform
- Match communications professionals with relevant journalists, creators, and stakeholders
- Enable verified, bidirectional collaboration between enterprises, newsrooms, and creators
- Send transactional emails (pitch notifications, OTP codes, meeting invites, claim notifications)
- Power AI-assisted features including search, pitch drafting, and contact discovery
- Measure platform usage to improve relevance and product quality

We do not sell your data to third parties. We do not use your content to train AI models.

4. The media database

Tern AI maintains profiles of journalists and creators sourced from publicly available media lists, so that communications professionals can discover and pitch relevant contacts. These profiles remain unclaimed until the journalist or creator signs up and verifies their identity. If you appear in our database and want to update, claim, or remove your profile, contact us at hello@ternai.tech.

5. Data sharing

We share your data only as needed to operate the service:
- With other users, as part of the platform's core function (e.g. your profile is visible to comms professionals searching for relevant contacts; a pitch you send is visible to its recipient)
- With service providers who help us run the platform (hosting, email delivery, file storage, AI processing)
- When required by law

We do not sell your personal data to third parties or advertisers.

6. Data security

We use industry-standard measures to protect your data, including encrypted connections and access controls. No system is fully secure, and during the beta period features and safeguards may still be evolving — please avoid submitting highly sensitive information you would not want stored on an early-stage platform.

7. Data retention

We retain your data for as long as your account is active. If you delete your account, we remove your personal data within a reasonable period, except where we are required to retain it for legal or security reasons. During the beta, we may reset non-essential data as the platform evolves.

8. Your rights

You can request access to, correction of, or deletion of your personal data at any time by contacting hello@ternai.tech. Journalists and creators with an unclaimed profile in our media database may request removal without needing to create an account.

9. Cookies and sessions

Tern AI uses essential cookies to keep you signed in and remember your preferences (such as light or dark mode). We do not use third-party advertising or tracking cookies.

10. Changes to this policy

We may update this policy as Tern AI evolves during and after the beta. Material changes will be communicated to users before they take effect.
